Community Service Grants
For the 2024-25 Rotary year, D7080 has allocated CAD $20,000 to support local community service projects. Community Service Grants (CSGs) fund short-term projects, requiring 1 to 6 months to complete, that will benefit a club’s local community and/or promote Rotary within a club’s local community. The projects must be local and are funded by the sponsoring club and the District. The District matches eligible project expenses up to a maximum of CAD$2,000. The minimum match is $1,000CAD. In order to be eligible for CSG funding, a project must align with the following criteria:
- Your club must have no outstanding RI or District dues
- Project must benefit your club’s local community AND/OR promote Rotary within your local community
- Project budget must be between CAD$2,000 and CAD$4,000
- Project application must be submitted no later than May 1st, 2025
- Project must be completed and all reports submitted no later than June 15th, 2025
Grant Minimum/Maximum
- Minimum - The CSG minimum threshold is $1,000 CAD which means that clubs must submit receipts with their final report for at least $2,000 to qualify for a CSG reimbursement cheque of $1,000 (or more). Less than that amount is ineligible for the CSG.
- Maximum - Project values can be over $4,000, but the maximum CSG will be $2,000 CAD (Club is responsible for any overages)
- Maximum amount reimbursed will not exceed the requested amount on the CSG application (Club is responsible for any overages)
Grant Request Scenarios
- Scenario 1: Project comes in under budget, and under $2000. Result: This no longer qualifies for a grant. The minimum grant amount is $1,000.
- Scenario 2: Project comes in under budget, but still over $2000. Result: Grant cheque is written for the lesser of the original approved grant amount requested or 50% of the actual expenditure.
- Scenario 3: Project comes in over budget, but still under $4000. Result: Grant cheque is written for the lesser of the original approved grant amount requested or 50% of the actual expenditure.
- Scenario 4: Original budget is more than $4000. Result: Grant can be approved, but maximum grant amount requested cannot exceed $2000.
FAQs
- Can a cluster or group of clubs put in an application together? No, the grantee can only be one club, and only one application per club can be submitted. If clubs want to work together behind the scenes that's fine, but they can't combine funding to make a bigger project, and one club has to be the grantee.
- Can a club put in more than one application? No, only one application per club.
- Can we use the grant money for facebook ads? Yes, as long as those ads are targeted to the club’s local community.

Steps to Obtain a Community Service Grant:
- Start your CSG application by completing and submitting the D7080 Community Service Grant Application Form. Here’s the link to the D7080 Community Service Grant Application Form.
- Your application will be reviewed by the Community Service Committee. You will be notified via e-mail within 5 business days regarding your application’s approval status.
- We will be tracking the CSG projects in the ClubRunner District Grants module. Once you receive the e-mail notification that your CSG application has been approved, login to the District Grants module in the Member Area on the District website, click on Submit a Grant Request and enter the details for your project. Refer to How to Enter a Community Service Grant into ClubRunner. You can contact CSG Support, if you run into any problems.
- As your project is executed, collect all pertinent documentation including, but not limited to, quotes, invoices, receipts, bank statements, letters and photographs. Remember that your project and the project report must be completed on or before June 15th.
- After your project is completed, login to the District Grants module in the Member Area on the District website and click on My Club Grants. Your CSG project will be displayed. Complete and submit your final project report. Refer to How to Enter a Community Service Project Report into ClubRunner. You can contact CSG Support, if you run into any problems.
- Your project report will be submitted to the D7080 Community Service Grant committee, who will review the project report and the uploaded project documentation.
- When the CSG committee accepts the project report, you will be notified via e-mail, and the District will issue the community service grant cheque to your Club.
